Video Interviews with Microsoft Teams

When a candidate books an interview, TalentBridge automatically creates the calendar event with a Teams video link included. There are no meeting codes and nothing extra to generate โ€” who can lead the meeting is decided by one simple rule:

The Microsoft account that created the meeting is the organizer. Whoever is signed into Teams with that account gets the host controls (admit from the lobby, mute, remove, end meeting) automatically.

This guide shows how to set your team up so every interviewer hosts their own interviews.

What the candidate sees

Nothing is required of the candidate. Their confirmation email and text include the meeting link; clicking it opens Teams in the browser as a guest โ€” no account, no app install, no code. They may land in the lobby until the organizer admits them.

One-time setup for each interviewer (about 5 minutes)

Step 1 โ€” Have a Microsoft 365 work account. Each staff member who runs interviews needs their own Microsoft 365 account in your company โ€” this is usually just their normal work email. If someone doesn't have one, your Microsoft 365 admin creates it first.

Step 2 โ€” Sign into Teams with that account. Open Teams (desktop app or teams.microsoft.com) and sign in with the work email. That's the whole Teams side โ€” no other configuration.

Step 3 โ€” Connect that same account in TalentBridge. The interviewer signs into TalentBridge, opens My Profile, and clicks the Microsoft connect button in the calendar card. They approve with the same work email from Step 2. This one connect powers three things at once: their calendar availability, invitation emails, and Teams meeting creation.

Step 4 โ€” Tell the job to use personal calendars. Open the job (Jobs โ†’ your job โ†’ Edit), find Scheduling mode in the hiring team section, and pick:

  • Single owner โ€” one person runs all interviews for this job; everything books on their calendar and they host every meeting.
  • Team round robin โ€” interviews spread across the hiring-team members who completed Steps 1โ€“3; each booking lands on the assigned person's calendar and they host that meeting.

โœ“ Checkpoint: After the next booking, the interview appears on the assigned interviewer's own calendar โ€” titled with the applicant's name โ€” and opening it from their calendar joins them as the organizer.

Day-of-interview: how staff join as the leader

Open the interview event from your own calendar (Outlook or Teams) and click Join, while signed in with your work account. You're the organizer โ€” admit the candidate from the lobby and run the meeting. That's it.

If a colleague needs to sit in, forward them the calendar invite; they join as a regular attendee.

Common questions

Does staff need a code to lead the meeting? No. Organizer rights follow the account that created the meeting โ€” which is whoever's connected calendar the interview was booked on.

We're on the shared-calendar setup โ€” who hosts? With the default Shared calendar mode, every meeting is organized by the one company account connected under Admin โ†’ Integrations. Whoever signs into Teams with that account is the host. That works for a single-interviewer office, but the per-person setup above is the right answer once more than one person runs interviews.

The candidate says they're stuck "waiting for someone to let them in." They're in the lobby โ€” the organizer joins and clicks Admit. If no organizer ever joins, nobody can let them in, which usually means the interviewer joined with a different account than the one the meeting was booked on.

Google shop instead of Microsoft? The same rule applies with Google Meet: connect the interviewer's Google account in My Profile and bookings on their calendar carry a Meet link they host.
